I. IDENTIFICATION:

JOB TITLE: Complex Rehab Specialist (CRS)
SUPERVISOR: Rehab Operations Manager-primary; Director of Rehab-secondary

II. POSITION DESCRIPTION:

A. POSITION SUMMARY:

The Complex Rehab Specialist will function under the direct supervision of the Rehab Operations Manager.

The Complex Rehab Specialist is responsible for coordination of his/her assigned ATP(s) book of business. This key position serves our customers and referral sources by maintaining an informative flow on an ATP(s) orders. This involves working closely with your assigned ATP(s) and associated HLM branches.

B. CUSTOMER SERVICE:
1. Treats all customers, families, referral sources, doctors, vendors, and co-workers with dignity and respect.
2. Consistently demonstrates courtesy to all customers and co-workers on the job.
3. Consistently demonstrates proper phone etiquette, identifying company and self with each greeting, answering the phone in 3 or less rings and minimizing the use of “hold.”
4. Maintains strict confidentiality of customer and company information.
5. Demonstrates competence and knowledge in all work-related activities.
6. Acts professional and efficiently at all times, keeping personal phone calls and interactions at an absolute minimum.
7. Displays ability to listen attentively and shows eagerness to learn new skills.
8. Willingly seeks additional work when assigned tasks are completed.
C. KEY JOB RESPONSIBILITIES:
1. Completes customer intake form on all new referrals, containing all necessary demographics, equipment and qualifying data, primary and secondary insurance data, appropriate diagnosis codes, physician data and referral source data.
2. Enters customer data into computer including all of the above information as well as the appropriate salesperson designation, division, class, and signature date.
3. Coordinates/Schedules evaluations, demonstrations, shape captures and any other pre-delivery appoints needed for the ATP or Seating Technician.
4. Performs certification and/or pre-authorization activities prior to deliveries.
5. Informs customers of co-pay responsibilities and explanation of rental or purchase information for the equipment/supplies delivered, prior to delivery.
6. Enters data for orders and pickups in the computer and prints out delivery or pick-up tickets.
7. Attaches appropriate paperwork (i.e., new patient folder) and appropriate educational hand-outs to delivery tickets and notifies ATP or Seating Technician for coordination of deliveries.
8. Coordinates delivery and pick-ups with patient and ATP or Seating Technician, using telephone and cellular phone.
9. Edits and confirms completed delivery and pick-up tickets.
10. Verifies charge accuracy (price levels, types of sale, and pricing) after confirmation of delivery tickets.
11. Maintains electronic filing in a current and orderly fashion.
12. Performs other duties as assigned by Management.
